The back office accounting systems use Microsoft’s Axapta which is a multiple language, multiple currency enterprise resource planning (ERP) accounting package. The three-tier architecture makes it straightforward and flexible. Our IT department use SQL Reporting Services which is a flexible report generating tool to produce reports tailored to the owners requirements. ASP’s origins date back to 1875 with the establishment of McIlwraith McEacharn, also known as the Scottish Line. For 90 Years the company traded successfully between Europe and Australia until in 1964 McIlwraith McEacharn joined with Adelaide Steamships to create the 3 rd Party Ship Management entity called Associated Steamships Pty Ltd. In 1991 Associated Steamships, now owned by Cyprus Coal Ltd was merged with the ship management arm of ANL Ltd to create ASP Ship Management, with ANL holding the major shareholding of 60%. In 1997, ASP Ship Management was acquired by the Pan Gulf Group as part of a global expansion of its ship management business and that business was subsequently spun off as an independent entity. The new group adopted the ASP acronym from its Australian subsidiary to become the ASP Ship Management Group and used it as a new identity without losing that of the regional fleet offices. The name change brings the Glasgow office in line with other ASP Group companies, being 100 per cent owned by the ASP Ship Management Group. With this change, new organisational structures in line with the ISM code have been introduced and a programme has begun to implement the Group s Quality Management System in the Glasgow office with the aim of achieving world class standards of quality and safety onboard the managed vessels. ISO 9001 and 14001 accreditation is a target before the end of 2005. With the introduction of latest technology systems such as STAR and Axapta, this will differentiate ASP from other ship managers, raising the ASP profile and reputation in Europe. ASP Europe CEO Matt Dunlop advises that while business expansion is intended, this is not the Group s main priority. The emphasis is on keeping our existing clients content and giving them the service they expect he told ASPects. Staff of ASP s Western Australian office went to sea last month on the Australian naval supply vessel HMAS Westralia, for which the office provides logistical support, making it the only office in the ASP Group worldwide to provide services to a naval vessel. The day s cruise for families and friends took the ship out into the Indian Ocean, where entertainment and displays included small arms marksmanship and a fly-past of Royal Australian Hawk aircraft. (see story, Page 5). 02 Instant communications are vital to most corporate organizations these days, and nowhere more so than in the international ship management industry. The latest development in the ASP communications network serving the needs of the Group, our staff and our customers is the updated ASP website, discussed in detail on Page 3. This allows worldwide interfacing for the Group s operational communications. It also provides protected access for customers to examine the status of their vessels under ASP management. You will note that the website has been completely redesigned, incorporating the distinctive lighthouse logo and providing comprehensive links to all areas of interest to our customers, our staff and our other associates. The site will be constantly monitored, providing updates and other initiatives towards continuous improvement of communications, and the promotion of the Group s services. Another interesting development has been the appointment of Jean Keraudren, CEO of CMS Crew Management Services as a ship owner s negotiator at the International Bargaining Forum (IBF), the body at which worldwide shipowner associations jointly conduct negotiations with the International Transport Federation (ITF) on terms of employment for seafarers. This appointment further consolidates the ability of CMS to provide its customers with maximum value in the crewing of their vessels. The expansion of Mariner Travel following the acquisition of World Travel opens up increased opportunities for new services to customers as well as strengthening the core business of providing transport for crew management. Our new offices in Mumbai are basically a response to the increasing importance of the Indian Sub-continent on the world economic stage and the burgeoning development of the country s maritime industry. We look forward to substantially increasing our business in this region. It opens up new levels of service to our clients, provides more efficient internal corporate information, and creates a potent marketing and public relations tool for the Group. Requirements and ideas were sourced from throughout the ASP Group, from listening to client requirements and benchmarking against industry peers. Client Extranet ASP has recently invested a lot of time and money in implementing the world s leading Business Systems software products. One of the major benefits to clients of this investment is the quality and variety of reports that can now be provided in a timely manner. The client extranet allows these reports to be uploaded and be immediately available on www.aspships.com for access via their own unique secure logon. Whenever an ASP employee uploads a new report to their site, an alert email is automatically sent to the client. ASP produce a wide range of client specific financial and operational reports automatically generated from the Star and Axapta Business Systems. Drill-down financial reports have also been developed, allowing clients to start at a summary level and navigate through to transactional details via the website. 03 SHIP MANAGEMENT The client extranet function has replaced email and the old snail mail methods of delivery for many clients and is also very useful for recipients who are out of the office but need access to their reports. Some clients also have read-only access to their data in the ASP Business Systems via the website providing this level of transparency is very important in a client relationship. Staff Intranet A company s intranet should be used as a corporate information tool and be a focal point for information sharing and education. All ASP s internal systems and listings are available on the intranet to ASP employees e.g. QA System, Ship Management Database, IT Change Request Logs, Phone Directory etc. even the Australian Rules Football Tipping software is available on-line. The intranet also has functionality for discussion forums, document sharing and version control. As the usage of the intranet becomes more engrained in ASP s culture it will be used more and more to bring people together internally it will become the main information repository of the company. New websites for CMS Crew Management Services and Mariner Travel will also shortly be unveiled. Reflecting a modern and dynamic image. Star Fleet Management System Fleet Perspective The Star IPS Planned Maintenance System and its associated modules, first installed on an ASPSM managed vessel in June 2003, is now providing a universal, uniform and structured approach to both shipboard and shore-based operational requirements. On ASP vessels, the flexibility of the Star IPS system has proved invaluable in the structure of operating methods to meet the demands for ships of widely varying types and functions. One of the first conventions introduced was to establish uniform numbering and naming protocols, and a database of work instructions to ensure minimum operational standards based on International Safety Management and industry requirements. Access grants for each of the various users of the system have been structured to meet the stringent requirements of classification societies and ASP s own company standards of security and accountability. Maintenance schedules, work instructions and reporting functions across the Star IPS fleet are now of one standard, and any maintenance or operational issues raised by m
